About the Opportunity

As a Project Coordinator, you enable predictable, well-organised delivery of projects and other planned technical work across the business.

This role focuses on coordination, readiness, and scheduling — ensuring planned work is properly prepared, sequenced, communicated, and tracked so engineers can deliver effectively.

You do not own technical delivery decisions, scope, or outcomes. Instead, you act as a control and coordination function that supports the Technical Delivery Manager, protects engineering capacity, and improves delivery predictability.

You report to the Technical Delivery Manager and work closely with engineers, service leadership, and solution design functions to ensure planned work moves smoothly from approval to completion.

Key Responsibilities

Project & Planned Work Coordination

  • Coordinate the delivery of projects and other planned technical work across engineering teams.

  • Maintain clear visibility of planned work schedules, milestones, and dependencies.

  • Ensure work is sequenced realistically to avoid overload, clashes, or last-minute disruption.

  • Support consistent use of agreed delivery structures (projects, change tickets, planned work queues).

Readiness & Intake Support

  • Ensure planned work is ready to deliver before scheduling:

    • scope agreed and documented

    • prerequisites and dependencies identified

    • approvals and change controls in place

  • Challenge incomplete or unclear work packages and route them back for clarification.

  • Support clean handover from sales, design, or service into delivery.

Scheduling & Capacity Protection

  • Work with the Technical Delivery Manager to schedule planned work in line with available capacity.

  • Help protect engineering time from unnecessary context switching and reactive disruption.

  • Maintain forward visibility of upcoming work to support planning and prioritisation.

Communication & Coordination

  • Coordinate internal communication around planned work, including timings, dependencies, and expectations.

  • Support service leadership with accurate delivery timelines and status updates.

  • Ensure engineers have clear instructions and expectations before work begins.

Tracking, Visibility & Reporting

  • Track progress of planned work and highlight risks, delays, or blockers early.

  • Maintain accurate delivery records within service management tools.

  • Provide clear status updates to the Technical Delivery Manager and Head of Service as required.

Governance & Continuous Improvement

  • Ensure planned work follows agreed delivery and change standards.

  • Identify recurring coordination issues, bottlenecks, or inefficiencies and propose improvements.

  • Support post-delivery reviews by ensuring actions, documentation, and follow-ups are completed.

Collaboration & Alignment

You will work closely with:

  • Technical Delivery Manager – delivery planning, scheduling priorities, and escalation of risks.

  • Engineers and Project Engineers – ensuring work is properly prepared and sequenced.

  • Service Desk Manager – maintaining clear boundaries between reactive service flow and planned work.

  • Solutions Engineer – supporting structured handover from design into delivery.

Experience & Skills Desired

  • Experience in a project coordination, delivery coordination, or operations support role within an MSP or IT services environment.

  • Strong organisational skills, with the ability to manage multiple workstreams, priorities, and dependencies.

  • Comfortable working with engineers and technical teams, even if not deeply technical yourself.

  • Confident challenging unclear requests and incomplete inputs in a constructive, professional manner.

  • Experience working with service management or project tools (e.g. Autotask or similar).

  • Strong written and verbal communication skills, able to keep stakeholders aligned and informed.

  • A structured, methodical approach with strong attention to detail.

  • A mindset aligned to predictable delivery, clear standards, and continuous improvement.

Experience working within a defined service or operating model is advantageous, but a pragmatic, learning-oriented attitude is essential.
